Falcon — Privacy policy

How our internal operations application handles information exchanged with QuickBooks Online.

Effective 7 October 2026

What this policy covers

This policy describes how Falcon, the internal operations application used by 512 Solar, handles information it exchanges with QuickBooks Online.

It is separate from the privacy policy for this website, which covers the quote form and nothing else. If you are a visitor who submitted a quote request, that is the policy that applies to you.

Whose information is involved

Two groups. First, 512 Solar customers whose billing records exist in the company's QuickBooks file. Second, the 512 Solar employees who use Falcon, whose account and activity records it holds.

Falcon is not open to the public. Customers do not have accounts in it.

What Falcon reads from QuickBooks

Falcon reads only what it needs to raise an accurate invoice against the right customer:

  • Customer records — name or business name, billing and service address, email address and phone number.
  • Products and services, and their rates.
  • Existing estimates and invoices, including line items, amounts, dates and payment status.
  • Company settings needed to format an invoice correctly, such as tax codes and terms.

What Falcon writes back to QuickBooks

Falcon creates and updates invoices — line items, quantities, amounts, dates and the customer the invoice belongs to. It may create or update a customer record where a job exists for someone not yet in the books.

Falcon does not handle card numbers or bank account details, does not take payments, and does not alter payments recorded in QuickBooks.

Why the connection exists

To raise invoices automatically from completed work instead of re-keying them by hand, and to keep job records and the accounting file in step with each other.

Information from QuickBooks is not used for marketing, is not combined with website or advertising data, and is not used to build profiles of anyone.

Intuit's role

The connection is to 512 Solar's own QuickBooks Online company, authorised by the company through Intuit's standard consent flow. Falcon is a private integration; it does not connect to any other organisation's QuickBooks data.

QuickBooks Online is operated by Intuit, and Intuit's handling of that data is governed by its own agreements with 512 Solar rather than by this policy. Access can be revoked by the company at any time from within QuickBooks, which immediately ends Falcon's ability to read or write.

Who can see it

Only 512 Solar personnel who have been granted a Falcon account, and only to the extent their role requires.

Information from QuickBooks is not sold, not shared with advertising networks or lead brokers, and not disclosed to third parties except where the company is required to do so by law, or where a service provider processes it on the company's behalf under contract.

How it is protected

Falcon is reached over an encrypted connection and requires an individual account to sign in. Access is limited by role.

The credentials that authorise the QuickBooks connection are held server-side and are never exposed to a browser. They can be revoked without affecting the underlying accounting records.

How long it is kept

QuickBooks Online remains the system of record for accounting data. Falcon keeps job and invoice information for as long as needed to run the business and to meet tax and record-keeping obligations, after which it is deleted or archived.

Your rights

If you are a 512 Solar customer and want to know what information the company holds about you, or want it corrected or deleted, contact help@512solar.com or call (512) 827-3775. Texas residents may have additional rights under the Texas Data Privacy and Security Act.

Requests that concern financial records the company is legally required to retain may not be able to be fulfilled in full, and we will say so if that is the case.

Changes

If the connection changes in a way that affects what information Falcon reads or writes, this policy will be updated and the effective date above changed.
